Position Overview
We are seeking a highly organized and detail-oriented Sales & Marketing Associate to support our operations and client communication processes. This is an excellent opportunity for someone who enjoys structured work, communicating with clients, and helping a fast-paced professional services firm run smoothly.
The ideal candidate is proactive, persistent, and persuasive - comfortable following up until a deal closes, while also organized enough to keep our CRM and pipeline clean and accurate. You will work closely with the Office Manager/firm leadership and ensure clients receive timely and professional service.
Key Responsibilities
Pipeline & CRM Management (GoHighLevel)
- Keep contacts, opportunities, pipeline stages, and notes accurate and current
- Build and maintain follow-up sequences, reminders, and nurture workflows for leads and proposals
- Run regular data-quality checks so no lead goes cold from neglect
- Track conversion at each pipeline stage and flag stalled or stuck deals
Client Communication & Follow-Up
- Send reminders regarding consultations, missing documents, proposals, and pending next steps
- Respond to routine client inquiries via email and messaging platforms
- Share scheduling links and help coordinate appointments
- Escalate urgent or sensitive client issues to management promptly
Email & Communication Triage
- Monitor incoming emails and prioritize based on urgency
- Route high-priority matters to the appropriate team member
- Respond to straightforward administrative inquiries
- Follow up on pending client communications as needed
Administrative Support
- Assist with drafting service quotations using internal templates
- Send approved engagement letters and invoices through client portals
- Maintain internal spreadsheets and operational tracking documents
- Help manage meeting records and documentation
Marketing Support
- Post approved promotional content in relevant channels
- Assist with administrative marketing tasks including campaigns, outreach, etc
- Help track outreach activity and engagement
Communication & Coordination
- Triage incoming email and messages, prioritizing revenue-impacting items
- Share scheduling links and help coordinate appointments
- Provide phone coverage during late afternoon/evening U.S. hours, route calls or capture lead information for prompt follow-up
Required Qualifications
- 1+ year of sales, client-facing, lead follow-up, or coordinator experience preferred
- Strong written and verbal communication and a persuasive, client-friendly style
- Comfort with follow-up and ownership of outcomes, you don't let leads slip
- Excellent organizational skills and attention to detail
- Comfortable learning and using multiple software platforms
- Ability to prioritize and identify high-value or urgent opportunities
- Ability to maintain confidentiality and handle sensitive financial information responsibly
Preferred Qualifications
Experience with any of the following is a plus
- CRM systems, especially GoHighLevel
- Sales or marketing within a professional services, accounting, or tax firm
- Google Workspace, client portals, and document management systems
- Remote sales or client-success support
Working Hours
Preferred availability within MST or PST business hours to support client communication and lead response coverage. Typical coverage is approximately 10:00 AM - 6:00 PM MST (or equivalent), with flexibility to assist with occasional later calls.
