Job Description: Project Management & Timeline Mastery

  • Master the Timeline: You are the "guardian of the deadline." Monitor progress from start to finish to ensure projects move through the agency processes smoothly and on time. You must be extremely time-conscious and self-driven.
  • Status Awareness: Maintain constant awareness of project status, upcoming milestones, and potential bottlenecks.
  • Quality Control: Fully understand all client scopes of work, deliverables, and obligations. Review all work prior to sending it to the client to ensure accuracy and quality.
  • Data-Driven Leadership: Use ROI as a decision-making tool. Analyze performance metrics to determine go-forward actions and educate clients on the value being delivered.

2. Client Strategy, Communication & Retention

  • Retain and Thrill: Drive client retention by moving clients from "satisfied" to "thrilled." You will be measured on quarterly retention rates and Net Promoter Scores (NPS).
  • Execute Reviews: Conduct monthly/quarterly review meetings (via Zoom) with at least 75% of your client base to review reports (Ranking Reports/Analytics) and plan future strategy.
  • Meeting Coordination: handle all logistics, including calling clients, developing meeting agendas, setting up calendar invites with Zoom, and leading the calls.
  • Strategic Communication: Capture critical details, questions, next steps, and timing from meetings. You must be able to translate complex SEO/PPC concepts into simplified explanations for clients.
  • Industry Knowledge: Familiarize yourself with the client’s industry, services, competitors, products, and technologies to better serve their specific needs.
  • Expectation Management: Set clear expectations with clients. Proactively escalate potential issues and never hide from bad news.

3. Internal Operations & Team Leadership

  • Information Transmission: Transmit critical details and next steps to team members immediately following meetings to ensure everyone is in lockstep.
  • Stakeholder Collaboration: Develop an understanding of internal stakeholder capabilities and staff roles to build rapport and ensure projects fulfill the scope and obligations.
  • Administrative Maintenance: Maintain and update client profiles and general/specific info as it presents itself.
  • Agency Operations: Understand agency day-to-day operations and processes to navigate the internal workflow effectively.

4. Knowledge, Skills & Experience Professional Traits

  • Thorough & Detailed: Extremely thorough with tedious attention to detail.
  • Communication Mastery: A skilled communicator who is unfazed by working with clients directly or jumping on a Zoom/phone call.
  • Comfortable with Confrontation: You must be comfortable with confrontation to keep projects on track—being "too agreeable" is a red flag.
  • Resourceful: You are flexible, resourceful, and able to adapt to changing situations.
  • Analytical: Comfortable analyzing data to find the story behind the numbers.

5. Technical Proficiency

  • Google Suite: Proficient in Gmail, Drive, Docs, Sheets, & Slides.
  • Project Management Software: Skilled in the use of project management software and communication within those platforms (Experience with Wrike is a massive plus).
  • Marketing Platforms: Experience with CallRail, GoHighLevel, Agency Analytics, and Google/Facebook advertising interfaces.

6. Experience & Background

  • Work History: Ideally, you have 2+ years of Account Management experience and 1 year of agency experience.
  • Hiring Philosophy: We hire for will and train for skill—if you have the tenacity, we can teach the rest.
  • Bonus Skillset: Moderate sales skillsets to help clients prioritize tasks related to their campaign.

Salary & Growth Opportunities

  • Base Pay: $40,000–$50,000 annually, depending on experience.
  • Quarterly Performance & Growth Bonuses: Team members receive 10% of quarterly earnings distributed equally, estimated at $1,000–$3,000 per quarter.

SCHEDULE

Schedule Requirements: This is a remote position, but you must be available for team meetings Monday–Thursday mornings (CST). If you are in LatAm or Eastern Europe, you must be willing to align your working hours to be responsive during our core business day.

  • Full-time, 40 hours per week.
  • Flexible schedule within an 8-hour workday.
